This policy explains how Codamis Inc. handles personal information in connection with codamis.ca and inquiries sent to us. Products and services presented on this website have their own policies and agreements, depending on the information they process.
1. Responsibility and contact details
The president of Codamis Inc. acts as the person responsible for the protection of personal information. You can send a question, request or complaint through our contact form, explaining its purpose in your message, or by mail:

2. Information collected
The form collects your name, email address, project type and message. You may also provide your organization’s name, a telephone number, an approximate budget and a timeline. The form’s language is sent with the inquiry. Required fields are identified; without them, the form cannot submit your inquiry.
Technical information, including your IP address and request information, may be processed by the hosting infrastructure to operate and secure the site. The form’s protection mechanism uses IP addresses in memory to limit abusive submissions.
Please provide only information needed for your inquiry. Avoid including passwords, payment information or personal records about your clients.
3. Use and disclosure
We use this information to understand your needs, reply, prepare a proposal when requested, follow up on our discussions and protect the website from abuse. Submitting a form does not subscribe you to a newsletter.
Codamis does not sell or rent your personal information. Information may be shared with people and providers who need it to handle your inquiry, operate technical services or meet a legal obligation.
4. Hosting and service providers
The website and contact function use Microsoft Azure. Inquiries are emailed to Codamis using Azure Communication Services and then handled in our email system. The form does not create a record in a website database; this does not mean that the email and providers’ technical records are immediately deleted.
Depending on the services and infrastructure involved, some information may be processed outside Quebec or Canada. Applicable requirements for these disclosures, including a privacy impact assessment where required, must be respected.
5. Cookies and Google services
The website does not integrate audience analytics, advertising or profiling cookies. Fonts are loaded from Google Fonts: your browser connects to Google’s servers, which receive technical information including your IP address.
On the Contact page, Google Maps loads only when you click “Show the map”. The Google Maps link also opens an external service. Google may then process technical information and use its own cookies. See Google’s privacy policy for its practices.
6. Retention
Inquiries and correspondence are kept in our email system for as long as needed to handle and follow up on them and meet applicable legal obligations. The duration depends on factors such as the nature of the inquiry and whether a contractual relationship exists.
Technical information and backup copies may be subject to the relevant providers’ retention cycles. Contact the privacy officer for details about your information or to request deletion, subject to applicable retention obligations.
7. Security
The website uses HTTPS. The form validates submitted information and includes protections against automated and excessive submissions. Its application log does not record message contents; the infrastructure may generate its own technical logs.
No transmission or storage method removes every risk. In the event of a privacy incident, Codamis must take the protective, documentation and notification measures required by applicable law.
8. Your rights and complaints
Depending on applicable law and the circumstances, you may request access to your information, corrections, withdrawal of consent or a copy in an appropriate technological format. You may also request deletion, subject to legal obligations. Withdrawing consent may limit our ability to follow up on your inquiry.
Send your request to the privacy officer identified above. Proportionate identity verification may be needed before information is disclosed or changed. Requests are handled within applicable legal time limits.

9. Policy changes
This policy may be updated to reflect changes to the website, providers or Codamis’s practices. The revision date appears at the top of this page. Changes are communicated and required consents are obtained where the law requires.
